Inside My 2026 Tech Stack: The Tools I Use to Run a 7-Figure Business With 7 Revenue Streams

Ever wanted to snoop behind the scenes of a seven-figure business and see exactly what tools they’re using to keep the whole thing running? Same. I’m nosy like that too.

So today I’m pulling back the curtain on my full 2026 tech stack, every piece of software we use to run Serve Scale Soar and all seven of our revenue streams.

But here’s the thing you need to hear before we dive in. You do not need all of this. I run a seven-figure business with seven revenue streams: Conversions for Clients, Strategist Society, live events, affiliate marketing, low-ticket products, my one-on-one services, and our Certified program. You probably have one or two things going on, not seven.

So as I walk you through our business tech stack, I’m also going to tell you which tools I actually recommend for service providers, which ones I’d do differently if I could go back, and which ones we’re actively cutting. Grab your coffee. Let’s do the dang thing.

Start Here: The Two All-in-One Tools I Recommend for Service Providers

If you take nothing else from this whole tech stack breakdown, take these two tools. Everything else I use is because I have seven revenue streams. These two are the foundation.

HoneyBook: The One Tool Every Service Provider Actually Needs

We are big fans of HoneyBook, and it’s how we run all of our client contracts, invoices, and schedulers.

Here’s how I actually use it. For my one-on-one consulting and done-with-you services, HoneyBook holds my contracts, my appointments, and all my client info. Every email, every Zoom call, and every appointment gets scheduled through there, so all the transcripts and documents live in one place. That’s my client portal, my scheduler, and my contract system all in one login.

The only thing we don’t run through HoneyBook is payments, and that’s only because we are so deep into Stripe that Janessa just sends invoices there instead. If we weren’t already buried in Stripe, I’d use HoneyBook’s built-in payments in a heartbeat. They’re right there. Why wouldn’t you?

Now let me get real with you for a second. Some of y’all see the price, around $30 a month, and hesitate. This tool runs your business. I would pay $100 a month for HoneyBook. Think about how much time it saves you versus duct-taping fifteen free tools together and praying they talk to each other.

FG Funnels: The Backbone When You’re Playing the Long Game

The second all-in-one tool, and honestly the backbone of our entire business at this point, is FG Funnels, which is a white label of High Level.

We use FG Funnels for pretty much everything. Our sales pages, our text messaging, our email platform, our Strategist Society contracts, and all of our calendar scheduling live there. We run about 90% of our business inside FG Funnels.

I went with FG Funnels years ago, back before High Level had the support it has now. It costs a little more than going straight through High Level, but you get more support, more training, and a library of built-in templates so you’re not rebuilding everything from scratch. But here’s my honest take. Does a service provider need FG Funnels? No. All you need is HoneyBook.

FG Funnels makes sense when you’re playing the long game. If you know you want to build digital products, a course, a membership, or a group program, or you’re growing an email list and thinking about running ads someday, then yes, start there. The ad tracking with the conversion API is amazing.

Just know it is more robust, which is a polite way of saying it can get overwhelming. We have Strategist Society members who feel that overwhelm hard when they move from HoneyBook to FG Funnels, because there are so many more moving pieces. If you’re not tech savvy and you want simple, stay in HoneyBook. If you know you’re building a second revenue stream, invest in FG Funnels. Make that decision based on where you’re headed, not where you are today.

Project Management: Why I Left ClickUp and Asana for Notion (But Still Recommend Asana for You)

If you’ve been around a while, you know we’ve been through the project management wringer. We were ClickUp fans forever. Then we moved to Asana. Now we’ve been on Notion for about a year, and I love it.

Here’s my one big warning about Notion, though. The reason most people get overwhelmed with Notion is they buy a template that doesn’t fit their brain. Then there are a thousand moving parts and they quit. I would never buy a template. If you’re going to use Notion, you have to be someone who likes to create but doesn’t get stuck in the creating.

One thing that makes this so much easier now is that Claude is connected to Notion. When I get stumped building something, Claude just builds it for me. Real example: I teach a gap analysis inside Strategist Society, and mine always lived on the whiteboard in my room. The problem was that Janessa couldn’t see our numbers to know where to focus.

So I told Claude exactly what I wanted, the same little dots that fill in as revenue grows, and it built me a full dashboard in Notion in about 15 minutes. I only had to tweak a few things. But here’s the catch, and this is where people mess up. I knew exactly what I wanted. If you don’t know what you actually want, no AI can fix that for you.

Real talk though: Notion is overkill for most people. If your brain doesn’t work that way, don’t force it. I still recommend Asana for almost everyone. It’s the easiest, the cheapest, and the best way to get a real project management system going. Inside Conversions for Clients, we even give you one-click installs for Asana for your client onboarding. ClickUp? Too many bells and whistles for what the average freelancer needs.

The Communication and Podcast Tools We’ve Used Forever and Ever, Amen

Some tools you find and just never leave. These are those.

How I Communicate With My Team and 60 Clients

For communication, we run Slack, Voxer, Help Scout, and Zoom.

Slack is just for me and Janessa. That’s our team chat. If I were running a retainer-based business again, I’d honestly put clients back in Slack, or run everything through email inside HoneyBook. Slack can get scope creep, so you need strong boundaries. I have those. If you’re answering Slack on weekends, you might not, and that’s your sign to move client comms to email.

Voxer is how I support my Strategist Society members and one-on-one consulting clients. People always ask how I manage 60 people and remember what’s going on in each of their lives. It’s because every one of them is family to me, and you don’t need your family to recap what they told you yesterday. That daily voice connection is everything.

Help Scout handles all of our incoming support emails. Janessa runs it and assigns tickets. I log in maybe once a month. And Zoom is still our go-to for weekly calls after eight years. The one change we made: our webinars and bootcamps moved off Zoom because the video quality got so degraded. We now stream to YouTube Live through Ecamm instead.

The Podcast Tech Behind Almost 300 Episodes

If you don’t have a podcast, file this away for your clients who do.

Buzzsprout hosts the show. Honestly, if I could cancel it I would, but we’re about to hit 300 episodes, which means switching hosts would mean swapping the players on 300 blog posts. The juice is not worth the squeeze. It’s a great host, we just already pay for Hello Audio, which does lifetime unlimited feeds for us.

Hello Audio is where we run all our private podcasts, and we lean on this hard. Strategist Society calls, our Certified course curriculum and Q&As, and our Conversions for Clients Q&As all live on private feeds. So whether you’re in the carpool line or doing dishes, you can pop in your headphones and learn on the go instead of being stuck at a screen.

And Descript is where we edit everything, podcast and video. It’s what I’m recording in right now.

The AI Stack: What I’m Actually Using Every Day in 2026

Okay, the part you’re really here for. Here’s exactly which AI tools I use and what I pay for each one.

  • Claude is my main one, and I use it every single day. I’m on the $100 a month plan. It built my Notion dashboard, and I now build pages and buttons with code inside it that look just as good as my expensive website.
  • ChatGPT is what I use for images and graphics. I’m on the $20 plan. We also built some really good bots for our Chasing to Chosen workshop in there.
  • Perplexity is my deep research tool, maybe once a month. This is also what I teach for pulling numbers and businesses for cold outreach. I’m on the free plan.
  • Manus is what I use to pull ad reports from Meta. Also free plan. We cover this inside my ad copy shortcut.
  • Gemini is my personal life tool, not business. It’s very “hey, is my sourdough starter ready?” energy.

Notice something? I only pay for two of my AI tools. The rest do the job on free plans. You do not need to spend a fortune here to get real leverage.

The Rest of the Stack (And What I Actually Pay)

A few more tools round out our stack, and I’ll be transparent about the money since I know you’re nosy like me.

  • Google Drive houses all our documents and our shared team drive.
  • Canva has done all our graphics for eight years. My Conversions for Clients students even build their Work With Me pages there.
  • Showit hosts our website with a WordPress blog. Real talk: if I could go back, I wouldn’t. I never log in, it’s $500 a year, and I can now build pages just as pretty with code in Claude. I chose it for aesthetics, and I’d just use FG Funnels now. Don’t make expensive decisions based on pretty.
  • QuickBooks runs our books. My bookkeeper lives in there. I don’t.
  • membership.io (formerly Searchie) houses all our videos, transcripts, and captions, and it’s where Conversions for Clients lives.
  • Gusto runs my payroll. Janessa is a contractor, so I’m the only one on it.
  • Ecamm is how I stream to YouTube and record course content with a switcher and screen share.

As for cost, we pay a lot of this annually, so it’s hard to pin down monthly. But here’s the headline: software is our second biggest expense after payroll, and we shrink it every single year as AI improves. For reference, FG Funnels runs us $1,000 a year, Claude is $100 a month, and plenty of the rest lands between $15 and $50 a month. It adds up, which is exactly why we audit it constantly.

The Tools I’m Cutting (And the Real Reason Why)

Here’s the part nobody shows you. We’re actively cutting three tools, and the reason matters way more than the tools.

  • Airtable. We use it for databases and payment tracking, but we want to move it into Notion. We just have to figure out the migration.
  • AddEvent. This handles the “add to calendar” buttons for our bootcamps. We just paid for it in May, then I realized Claude can code that exact same button behavior into a page for free. Canceling next year.
  • Zapier. We only still need it because of Airtable. FG Funnels has so many built-in webhooks now that we barely touch Zapier anymore.

See the pattern? As AI and built-in integrations get better, we keep cutting software every single year. And here’s the honest part: for us, this isn’t even about the money. We have good profit margins. It’s about streamlining so we’re not drowning in fifteen logins. So ask yourself this: which of your tools are you paying for out of habit, not need?

What Your Tech Stack Should Actually Look Like

So let me bring this all the way home for you, because I don’t want you walking away thinking you need 20 tools and a $ 2,000-a-month software bill.

If you’re an early-stage service provider, you need HoneyBook and a project management tool like Asana. That’s it. That’s the stack. Everything else I use is because I have seven revenue streams and a team. You are not behind because your tech stack is simple. Simple is the goal.

Add tools when a specific need shows up, not because some seven-figure business (hi, that’s me) listed them in a podcast. The best tech stack is the one that’s boring, that runs quietly in the background, and that you actually use.

So go audit your stack this week. Cancel the thing you haven’t logged into in three months. Keep the two or three tools that run your business. Then go spend that saved time actually serving your clients.
